Thank you for supporting Covenant Christian School in the

4th Annual Coach Post 5k/10k Run.

Without YOU this event would not be a Success!!!

 

Please consider the following dates/times that we can use volunteer help:

Wednesday, March 29that CCS; join us for a “packet-stuffing party from 5:30-6:30pm in Fellowship Hall.

Friday, April 7th: at CCS join us for Pre-Run packet pick-up party. Music entertainment by Sam Weigle & dinners available by Majors Smokehouse.

Friday, April 7th: at St. Andrews State Park from 3:30-7:00pm from Event set-up. We especially need able-bodied men to assist with water coolers and equipment set-up.

Saturday, April 8th: RACE DAY!!!!  St. Andrews State Park. Volunteers will be needed in these areas: course monitors, water stations, parking directors, information table, on-site registration and packet pick-up, start/finish line, award table, refreshments, lunch service, clean-up & breakdown, etc.

 

As you can see we need your HELP!

If we can have many people doing a little then we won’t have a few doing a lot!

Please report to VOLUNTEER TENT on Race Day for directions or location of assignment if needed.

 

 

VOLUNTEER RESPONSIBILITIES

Registration Table:

Volunteers must be very organized, work well together and be able to react quickly to problems or confusion that may arise.  They need to be responsible, as they will be accepting money and refusing to accept registrations after a certain time.  The team lead will be versed in how to organize the registration tent and will assign tasks to volunteers accordingly.  At the end of the event, registration table volunteers will organize the clean-up process.  All other volunteers still onsite should assist with this too.

Parking Control:

The team lead for this position must be very organized and capable of devising a detailed shuttle schedule for overflow and offsite parking lots.  These volunteers will work directly with their team lead to ensure the efficient parking and transportation of race participants.  They will be required to direct traffic to the correct lots, as well as the overflow lots.  We will most likely have some parking offsite.  These volunteers will be required to drive participants from the overflow and offsite lots to the Start/Finish line area.  Volunteers are also responsible for assisting in transporting participants back to their vehicles post-race. 

Course Monitors & Intersection Control:

We are required by park officials to assist them with monitoring the race course along the roadways.  Our volunteers will be present along many, if not all of the intersections along the course to direct and cheer on the runners.  These volunteers must be physically able to move any small barricades and confidant enough to direct a car through a clear street if necessary.

Water Stations:

Water station volunteers are responsible for holding out water in paper cups for racers.  Our course will have 3 water stations situated along the route.  Volunteers will flank the street and hold out cups at arms length while cheering along the runners.  They will be responsible for filling the cups and collecting all water station trash until the completion of the race. 

Start/Finish Line & Chute Helpers:

Volunteers will work directly with the race timing company to assist in managing the start and finish of the race.  Exact number of volunteers and specific duties will be determined, as we get closer to race day and receive more info from the timing company.

Post-Race Refreshments:

Volunteers are responsible for setting up the refreshment tent and ensuring that all sponsor food donations are available and organized.  The team lead will work directly with the Sponsorship Coordinator to pick up all donations prior to arriving onsite for race set up.  Duties will include setting up ice coolers, bananas, etc. and refreshing the tables as the runners come through.  Volunteers must be responsible and keep all refreshments for post-race only.  If we have a coffee sponsor/donation, then they will also be responsible for setting this up and managing it for volunteers and committee members setting up for the race.

Awards:

Volunteers are responsible for setting up the awards table while the race is taking place.  They will assist the race timing company to create a smooth flow from timing results to actual awards.  Volunteers will also assist the announcers as needed on the stage during the awards ceremony.

Clean Up Crew:

Volunteers will work as a team to make sure the venue is left just as we found it.  They will work with park officials to secure trash receptacles and bags, while separating any recycling as necessary.  They will also work with the water stations and assist in removal of their trash.  This team does a final sweep after all tents and event items have been removed from the post-race party area, as well as the parking lots.
